A pre-shipment inspection provides a final opportunity to identify visible quality, quantity, packaging, and labeling problems before goods leave the factory.
1. Prepare the inspection standard
Provide the purchase order, final specification sheet, approved sample or photos, packaging artwork, labeling requirements, carton marks, and any product-specific tests. State which defects are critical and which tolerances are acceptable.
The inspector should not have to guess whether a difference is permitted. Changes agreed during production must be included in the final inspection documents.
2. Confirm production status
Pre-shipment inspection is usually most useful when production is complete and most goods are packed. If too little is finished, the sample may not represent the shipment. Confirm total order quantity, completed quantity, packed quantity, and any goods not available for inspection.
3. Verify quantities
- Total finished cartons and units
- Quantity by model, size, color, or SKU
- Units per inner box and export carton
- Spare parts, accessories, manuals, and inserts
- Any permitted overage or shortage
4. Check appearance and workmanship
Inspect randomly selected units for scratches, stains, deformation, cracks, loose parts, poor assembly, sharp edges, color variation, printing defects, and other category-specific problems. Compare workmanship with the approved sample and written acceptance criteria.
5. Perform product and function checks
Tests depend on the product. They may cover dimensions, weight, assembly, fit, operation, load, adhesion, color, barcode scanning, electrical function, or accessory completeness. Define the method and sample size before inspection whenever possible.
6. Inspect packaging and branding
- Correct retail box, polybag, insert, and protective material
- Approved logo, artwork, colors, warnings, and legal marks
- Readable labels and scannable barcodes
- Correct carton dimensions, weight, sealing, and strapping
- Accurate shipping marks, SKU, quantity, and country-of-origin details
7. Use an appropriate sampling plan
Many inspections use a recognized random-sampling approach and agreed acceptance quality limits. The appropriate plan depends on order size, product risk, buyer requirements, and contractual terms. Critical safety or regulatory issues may require stricter checks than ordinary appearance defects.
8. Review the inspection report
A useful report should identify the inspected quantity, sample size, defect classification, test results, photos, packaging details, discrepancies, and overall conclusion. Buyers should review the evidence rather than relying only on a pass or fail label.
9. Decide and follow up
If results are acceptable, confirm shipment release according to the agreed process. If not, define corrective work, responsibility, evidence required, and whether reinspection is needed. Avoid approving shipment based only on a promise that defects will be corrected later.
What an inspection cannot guarantee
Random inspection reduces risk but cannot examine every unit or guarantee future performance. Strong quality control starts with clear specifications, suitable suppliers, approved samples, production follow-up, and realistic inspection criteria.
